CRM setup

Know who to reply to and which quote to follow up

A CRM keeps contacts, quotes and conversations with customers together. I set it up so you can easily see who is waiting for a reply and when to get back in touch.

When useful

When this is useful

A CRM is simply a shared place for customer details, conversations and the next action. It suits businesses that prepare quotes or speak to customers several times before a sale — especially when a reply depends on someone remembering an email or a WhatsApp message.

What we set up

What I can set up

  • Enquiry stages your whole team understands.
  • A customer record with the information you actually use.
  • Moving your contacts over after the data has been checked.
  • Reminders for the next contact.
  • A connection to your form or inbox, where your programs allow it.
Example workflow

What this could look like in your business

A customer asked for a quote two weeks ago and has not replied. You can see the quote is still waiting and know when it is worth getting back in touch.

Illustrative example — not a client case study.

Tools & scope

Choosing the right tools

I can assess a tool such as Pipedrive, or improve a suitable CRM you already use. The simplest useful setup is usually one pipeline, a small number of required fields and clear ownership. Email and WhatsApp connections depend on supported account types and permissions.

A clear scope before I start

Before I start, you receive a quote describing the work. If paid software or extra services are needed, I show their costs separately. I also agree with you who will look after the solution once it is live.

A CRM does not find customers by itself — it helps you look after the ones who have already been in touch.

Process

How I work

  1. You show me how you work today and some sample information.

  2. You receive the scope, the price and any subscription costs.

  3. I set up the solution and check it in typical situations.

  4. I show you how to use it and confirm who will handle later changes.

Questions

Questions you may have

Is a CRM too much for a small business?

Not if it solves a real follow-up problem. If a simple shared list is sufficient, there is no need to add a larger system.

Can it collect every WhatsApp conversation?

Not automatically in every setup. I must check the supported integration, account requirements and costs first.

Can you automate reminders?

Yes, where the chosen plan supports the agreed rules. I agree with you separately whether a reminder goes to your team or a message goes to a customer.
